Terms of Service for Gracianna Grateful Gatherings Online Wine Tastings 

When agreeing to buying online tastings, a Gracianna Grateful Gatherings Coordinator will reach out to you (the client) within 72 hours of initial contact (not including holidays) to commence a needs assessment for your team’s tasting. The minimum order for an online tasting is eight tasting kits. Payment can be made with a credit card (VISA, American Express or MasterCard) or a valid purchase order. The deposit is 25% (refundable) to hold a date and the balance is charged prior to the wine shipping. California sales tax will be added.

Order Deadlines

During the planning process, a Gracianna Grateful Gatherings Coordinator will provide the client with an order deadline (e.g., the number of days you need to finalize the order before the event date for us to hold your date).

Your kits must ordered by the time frames below to ensure that your recipients receive their tasting kits before the event:

  • At least 12 business days during cooler weather (October 11 – April 14)
  • At least 16 business days during hot summer weather (April 15 – October 10)

All recipient information must be provided to Gracianna by the order deadline. If additional recipients are requested to be added after the order deadline, Gracianna will charge 1) a $50 coordination fee per additional recipient, and 2) expedited shipping costs that can be approximately $55 or more per additional recipient in addition to the $75 tasting kit. If recipients are local to Healdsburg, the kits can be picked up from the winery for no additional charge.

Delayed Orders

Gracianna ships all orders via ground shipping and relies on third party carriers for fulfillment (UPS/Fedex). Gracianna is not responsible for refunding shipping or product costs for delayed packages provided they were shipped from Gracianna’s fulfillment facility within an appropriate timeline:

  • All ground shipping orders will ship at least ten business days prior to the event.
  • Client assumes risk for their participant’s receipt in time for the Grateful Gatherings event on any orders that are expedited and not shipped via ground shipping.

If the order did not ship within the above timelines due to a client delay (such as not providing shipping information by order deadline, making last minute changes to participant count, etc.), Gracianna will not be responsible for refunding the shipping or product costs for delayed packages.

In the event of a shipment delay caused by Gracianna, Gracianna will initially attempt to reschedule the online tasting to a mutually agreed upon make-up date. If a make-up date cannot be established, and wine has not yet shipped, Gracianna will refund all costs (shipping and product) in full.

Shipping and Address Issues

All Gracianna wine packages must be signed for by someone over the age of 21. If the address provided by the client is incorrect, or a package cannot be delivered because there is no one to accept and sign for the package, UPS/Fedex (the carrier) will attempt delivery two more times. If the carrier is unable to deliver, they will return the package back to Gracianna and the client will be charged the full prevailing shipping rate. If the client requests for Gracianna to resend the package to the same recipient after the third delivery attempt, there will be an additional charge equal to the initial shipping fee. Carriers charge Gracianna $20 for address changes once the wine is initially shipped and this fee will be passed along to the client.

Extreme Weather Shipping

Gracianna cares about the wine we make and ship. All wine will be properly transported and stored so it arrives ready to enjoy.

Shipping wine can be risky with more extreme weather events. To minimize risk, we want to avoid the internal temperature of the wine inside the container to fall below freezing or reach 80 degrees or above for any length of time on its way to you.

The best way to receive wine between April 15 and October 10 (if weather is hot) is to use express services such as FedEx Cold Truck with end-to-end refrigeration. Grateful Gatherings tasting kits can be shipped utilizing this express service at an additional cost. We are happy to use your company Fedex account number or simply add the difference to your event cost. Express shipping will be quoted depending on shipping zones but as a rule of thumb each standard $75 kit will cost an additional $45 (approximately) using Fedex Cold Truck shipping. If local to Healdsburg, kits can be picked up the from the winery for no additional charge.

Fedex, UPS, and retailers do not offer insurance to protect the wine against extreme temperatures.

Damaged Packages

If any packages are damaged in transit, photos of the damaged package or a change in UPS tracking status to “Damaged” may be required for a reship to occur. If a package is damaged during transit by the carrier, Gracianna will reship the package at no additional cost to the client and expedite a reshipped replacement package; however, if a package is damaged in transit, Gracianna can no longer guarantee the delivery date for re-shipped packages. In the case of a re-shipped package, Gracianna reserves the right to swap comparable products or shipping speed in the package depending on availability of the products in the original order.

Large Orders (over 50 recipients)

For large orders, as defined above, the client is required to pay a 50% non-refundable deposit to save the requested tasting date. The Gracianna Grateful Gatherings Coordinator will provide the client with details of the deposit amount along with payment information. The 50% deposit will be deducted from the order total at the time of the official order.

Gracianna will charge the 50% balance to the client’s credit card including all final adjustments (based on the final participant count and including any special shipping requirements) the day the wine is shipped. There are no returns or refunds post shipment.

If Gracianna cannot perform or believes it may not be able to perform in whole or in part due to a fire, natural disaster, act of war or terrorism (domestic or foreign), epidemic or pandemic (including COVID-19), action of any governmental authority (including a Government Order), national or regional emergency, other casualty, act of God, or other cause beyond the control of the parties or due to Gracianna winery illness or injury, whether or not foreseeable (“Force Majeure Event”), then Gracianna will give notice to the Client as soon as reasonably practicable after Gracianna determines that a Force Majeure Event will or may prevent them from performing under this Agreement. In all cases Gracianna will reschedule at a mutually acceptable date.
